The Project Coordinator is responsible for supporting the Project Management Office in driving clarity, consistency, and communication across company initiatives. Acting as an “air traffic controller” for project requests, this role ensures that field teams and departments have visibility into what is happening, when, and how it impacts them. Additionally, this role provides direct project support to the Head of PMO, maintaining project boards, capturing notes, and managing communication cadences for high-level initiatives.
This position offers the flexibility to work remotely from any location within the US; however, should the applicant live in commutable distance to Hartford, Connecticut, a hybrid schedule would be expected from our home office.
Principal Job Duties:
- Serve as a central point of coordination for project requests, ensuring proper intake, timing, and communication.
- Maintain and update project management tools (e.g., Monday.com, Teams, Outlook integrations) to provide visibility and clarity to stakeholders.
- Draft and distribute project updates, meeting notes, and communication summaries across teams and departments.
- Support the VP of Project Management by managing project boards, timelines, and follow-ups on executive-level initiatives.
- Partner with project managers to ensure consistent documentation, templates, and reporting.
- Monitor bandwidth impacts on field and department teams, escalating conflicts or overlaps to PMO leadership.
- Contribute to the development of PMO standards, controls, and visibility practices.
Requirements:
Education
- 1–3 years of experience in project coordination, operations, or communications (internships acceptable with strong aptitude).
- Bachelor’s degree or equivalent experience preferred.
Experience
- Strong organizational skills with the ability to manage multiple priorities and stakeholders in a fast-paced environment.
- Excellent written and verbal communication skills; able to distill complex information clearly.
- Proficiency in project management software (Monday.com, Asana, Smartsheet, etc.) and collaboration tools (SharePoint, Teams, Outlook).
- Proactive, detail-oriented, and collaborative mindset with strong problem-solving skills.
Physical Demands:
- Bachelor’s degree or equivalent experience preferred.
- Willingness to work in the elements – heat, wind, snow, rain, etc.
- Ability to lift, push and pull at least 10lbs.
- Ability to stand, walk and run for extended periods of time.
- Ability to bend, stoop, squat and lift frequently throughout a shift.
