Responsibilities
Event Contracts & Legal Documentation
- Support processing of local event contract backlog.
- Enter contract details into Optimus and assist with tracking legal documentation.
Data & Reporting
- Enter guest lists, table assignments, and bidder paddle information into Greater Giving.
- Assist with pulling event-related reports and organizing data to monitor progress and outcomes.
- Conduct weekly data quality checks in Greater Giving, Luminate, Salesforce, and Tableau.
Finance Processing
- Enter event-related documentation and invoices into Salesforce.
- Assist in preparing Letters of Agreement, Attachment A benefits, and submitting internal proposals.
Communications & Documentation
- Collaborate with regional leads to design graphics for event materials.
- Help update and create standard operating procedures (SOPs) in partnership with department leads.
- Maintain and update SharePoint resources with current documentation.
- Create short training videos to support onboarding and process education.
Administrative & Operational Support
- Prepare printed materials, assemble thank-you cards, and donation receipts
- Support the creation of agendas and materials for monthly operations meetings, weekly departmental meetings, and training sessions.
Qualifications
- Candidates who are seniors or graduate students pursuing a degree in Business, Nonprofit Fundraising, or Event Management or related field.
- Experience/interest in Business Management, Data Management and Analytics , Nonprofit Operations, Fundraising Events, or Project Coordination.
- Experience with Salesforce or other customer database preferred.
- Ability to multi-task and manage time effectively in a fast-paced, deadline-driven environment.
- Demonstrated excellence in written communication skills.
- Demonstrated skills in effective one-on-one and group communications and comfort with working professionally with all levels of community leaders, volunteers, and staff.
- Effective oral and presentation communication skills.
- Ability to work in a fast-paced, dynamic environment managing multiple priorities involving multiple entities.
- Intermediate to excellent proficiency in MS Word, Excel, Outlook and PowerPoint.
- Basic knowledge of Canva.
- Required Equipment: Reliable WiFi Connection
- Minimum availability of 20 hrs/wk, M-F between the hours of 8:30am-5pm.
- Must be legally authorized to work in the United States for any employer without sponsorship, now or in the future. For any roles working remotely, the work must also be performed inside the United States, not in a foreign country.
