The Claims Associate provides essential administrative and clerical support to the claims team, assisting with documentation, data entry, file management, and routine communications. This entry-level role is designed to support Claims Adjusters by ensuring claims files are accurate, organized, and up-to-date, and by facilitating smooth workflow within the department.

Responsibilities:

  • Create, organize, and maintain electronic and paper claims files.
  • Enter and update claim information in the claims management system.
  • Prepare routine correspondence, forms, and reports for claims staff.
  • Assist with scheduling inspections, meetings, and appointments.
  • Upload and label documents, photos, and notes to claims files.
  • Respond to basic inquiries from internal stakeholders, builders, and homeowners, escalating complex issues to Claims Representatives.
  • Monitor and track incoming claims, ensuring timely assignment and follow-up.
  • Support claims team with administrative tasks such as scanning, copying, and filing.
  • Assist with compiling data for audits, reports, and regulatory compliance.
  • Perform data entry and provide administrative support to claims adjusters.
  • Monitor recovery and subrogation activities, including payment status checks and follow-ups.
  • Assist with collections-related tasks to ensure timely resolution of outstanding payments.
  • May assume other duties as applied.

Qualifications

Required Skills:

  • Basic proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong attention to detail and organizational skills.
  • Good written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Ability to handle confidential information with discretion.
  • Must have subrogation or collections experience.

Preferred Skills:

Physical Role Requirements: Be seated at a computer intermittently for up to eight hours a day. Move up to 10 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects. Sitting for long periods of time while using office equipment such as computers and phones. Repetitive motions using hands and digits; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.

Minimum Education, Licensure and Professional Certification requirements:

  • High school diploma or equivalent required.

Minimum Experience required(number of years necessary to perform role) :

  • 1+ years of office, administrative, or customer service experience preferred (insurance experience preferred).
