The IT Project Coordinator is responsible for supporting the planning, execution, and delivery of technology projects within the organization. This role ensures projects are completed on time, within scope, and aligned with business objectives. The coordinator works closely with project managers, technical teams, and stakeholders to maintain clear communication, accurate documentation, and efficient workflows.

Key Responsibilities:

  • Project Coordination
    • Assist in developing project plans, timelines, and resource schedules
    • Monitor project progress and track milestones and deliverables
    • Organize and facilitate project meetings, prepare agendas, and document minutes
  • Communication & Reporting
    • Maintain accurate project documentation and status reports
    • Communicate updates to stakeholders and escalate issues as needed
    • Serve as a liaison between technical teams and business units
  • Process & Compliance
    • Support adherence to project management methodologies (Agile, Waterfall, or hybrid)
    • Ensure compliance with IT policies, security standards, and governance requirements
  • Risk & Issue Management
    • Identify potential risks and assist in developing mitigation strategies
    • Track and report issues to ensure timely resolution
  • Tools & Technology
    • Utilize project management tools (e.g., Jira, MS Project, Smartsheet, Azure DevOps) for tracking and reportingAssist with documentation in collaboration platforms (e.g., SharePoint, Teams)

Competencies & Qualifications:

  • Experience:
    • 1–3 years of experience in IT project coordination or related roles
    • Familiarity with IT systems, software development, and project management tools
    • Preferred experience within the insurance of financial services industries
  • Skills:
    • Strong organizational and task prioritization abilities
    • Excellent communication and interpersonal skills
    • Detail-oriented with a proactive approach to problem-solving
    • Demonstrated administrative support experience, including calendar management, documenting meeting notes, and assisting leadership with task tracking and scheduling, especially related to project or system migrations
    • Proficiency in MS Office Suite, especially Outlook, Teams, SharePoint, PowerPoint
    • Basic understanding of IT concepts and terminology
