We're looking for a Recruiting Operations Specialist who will play a crucial role in supporting our hiring efforts and ensuring smooth day-to-day recruiting operations. You'll help build and automate our hiring process and have a front row seat to how we use data and AI to shape our recruiting strategy. You will work closely with our Talent Acquisition and People team members to create a seamless experience for candidates and employees alike.
Recruiting Operations & Systems Excellence
- Play a pivotal role in the migration and implementation of our new Applicant Tracking System (ATS), helping to configure workflows and test new features
- Document and update recruiting Standard Operating Procedures (SOPs) to ensure the team runs efficiently and consistently
- Audit and maintain candidate data integrity within the system to ensure accurate reporting and compliance
- Assist with job postings on various job boards and company career pages, ensuring our employer brand is consistent everywhere
- Identify bottlenecks in the recruiting process and propose creative solutions to improve speed and quality
- Provide general administrative support to the Talent team, ensuring we are audit-ready and organized at all times
Recruiting & Candidate Experience
- Coordinate complex scheduling of interviews (screening, panels, and debriefs), ensuring a seamless experience for candidates and interviewers
- Communicate with candidates regarding interview logistics, status updates, and next steps with a focus on empathy and speed
- Troubleshoot scheduling conflicts in real-time, keeping many balls in the air without letting details slip
- Support new hire documentation, including generating offer letters and submitting background checks
- Act as the guardian of the candidate experience, ensuring every applicant feels valued throughout the process
We’re excited about you because…
- You have a Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience)
- 0–2+ years of experience in HR, recruiting, or administrative roles (internships included)
- Excellent organizational and multitasking skills with a keen eye for detail
- You are tech-savvy and excited about the prospect of learning new software and helping with an ATS migration
- You enjoy solving problems and are eager to propose solutions and new ideas
- You are able to handle sensitive and confidential information with professionalism and discretion
