The Administrative Assistant is responsible for ensuring the smooth, efficient, and compliant operation of the business needs daily. This role requires strong problem‑solving abilities, effective communication skills, and the judgment to navigate non‑routine situations with professionalism and discretion. The Administrative Assistant serves as a central point of coordination for departmental operations, communication, and administrative processes.

Candidates must have prior related experience, including proficiency with computer software used to generate complex charts, spreadsheets, databases, and presentation materials. Advanced skills in word processing, spreadsheet management, and database administration are essential. The role also provides clerical and administrative support, typically to one leader and, in some cases, to their supporting staff.

Your Day to Day as Administrative Assistant

  • Provide comprehensive administrative support to the assigned TSG President and designated personnel, ensuring timely and efficient completion of tasks.
  • Manage employee and contractor training documentation, including creating, maintaining, and tracking training records, qualification materials, and presentation content.
  • Support organizational contract transitions, including activities related to absorbing newly awarded contracts and integrating acquired organizations.
  • Plan and coordinate organizational events, managing logistics, scheduling, vendor communication, and on‑site support
  • Coordinate security and clearance processes, including site access, documentation, and communication with Security and Clearance Administration.
  • Support cross departmental coordination, monitoring task execution across internal teams, contractors, and personnel, including scheduling required medical testing.
  • Oversee procurement and inventory, including generating purchase requisitions, purchasing office supplies, and maintaining inventory levels.
  • Manage financial and expense processes, including reconciling credit card purchases, preparing expense reports, and maintaining related spreadsheets.
  • Coordinate travel arrangements, including booking transportation, securing lodging, and preparing detailed itineraries. Preferred experience with the Concur Travel and Expense system for processing travel requests and reimbursements.
  • Prepare, organize, and distribute departmental reports, presentations, and other documentation.
  • Maintain filing systems and records management processes, ensuring accuracy, organization, and compliance with company standards.
  • Schedule and support meetings, including calendar management, agenda preparation, and logistical coordination.
  • Serve as a primary point of contact for the assigned department, facilitating communication and providing timely responses to inquiries.
  • Provide general office support, including answering calls, handling mail and deliveries, greeting visitors, and escorting guests as required.
  • Prepare PowerPoint presentations and other communication materials as needed.
  • Draft, proofread, and edit correspondence and documents to ensure clarity, accuracy, and professionalism.
  • Assist with process improvements, identifying opportunities to streamline administrative workflows and enhance office efficiency.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Perform additional related duties as assigned to support departmental and organizational needs.

Required Qualifications

  • High School diploma or GED required.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong internet research skills.
  • Ability to work independently while managing multiple tasks, shifting priorities, and deadlines.
  • Strong attention to detail, accuracy, and follow through.
  • Excellent interpersonal and communication skills, including professional verbal and written communication.
  • Ability to handle sensitive and confidential information with discretion and sound judgment.
  • Exceptional organizational and time management skills, with proven problem-solving abilities.
  • Professional, polished, and collaborative team player who can interact effectively with staff at all levels, visitors, and external partners.
  • Proficiency with office equipment and standard business applications, with the ability to learn new systems quickly.
  • Ability to work in an open office environment and adapt to changing needs.
  • Ability to travel occasionally, as required by departmental activities.
  • Reliable, self-motivated, and able to anticipate needs to support smooth office operations.
  • U.S. citizenship required.Ability to obtain and maintain DOE or DOD security clearance, as applicable.
